TalkingNote
Privacy Policy
TalkingNote is a voice recorder with live transcription and AI summaries. Our principle is simple: your recordings, transcripts, and summaries are stored only on your phone. Audio and text that pass through our server are processed on the fly and are not stored there.
1. What we collect
- Account information: transcription and AI summaries require Sign in with Apple. We store the user identifier Apple creates for your account; if you choose to share your email when signing in, we store that email (which may be Apple's private relay address). We do not ask for or store your name.
- Usage and subscription status: the seconds of live transcription you have used, your current plan and billing period, and your remaining free-trial balance.
- Feedback: what you write to us in Me → Feedback and our replies, plus the app version, iOS version, device model and interface language sent with it. This is used only to handle your feedback and never includes recordings or transcripts.
- We do not store your audio, transcripts, or summary content.
- No ads, no third-party analytics or tracking SDKs, and we do not sell, rent, or trade your data.
2. Data stored on your device
The following is stored only on your device and is not backed up to TalkingNote's servers:
- Audio recordings
- Transcripts, speaker labels, and the highlights you mark
- AI summaries and your prompt templates
- Folders and app settings
- Your sign-in session token, kept in the iOS Keychain
You can record without signing in; the audio stays on your device.
Voice recognition (optional, off by default)
If you turn on voice recognition in Me → People, after a recording ends the app computes a "voiceprint" on your phone from each speaker's voice (a list of numbers, not the recording itself) and compares it with the people you have saved, so speakers in your notes can be named automatically.
- On-device only: voiceprints are computed and compared entirely on your device. They are never uploaded to TalkingNote's servers or sent to any third party, and we cannot read them.
- Not backed up: voiceprints are stored separately, excluded from iCloud and computer backups, and are not included when you export, share, or transfer notes over Wi-Fi. They cannot be read while your phone is locked. You will need to set them up again on a new phone.
- Consent: the app explains the feature and asks for your consent before it is turned on. Before saving someone else's voiceprint, the app asks you to confirm that you have told that person and have their consent.
- Purpose: voiceprints are used only to label speakers in your notes, never for identity verification, advertising, or any other purpose.
- Retention and deletion: you can delete one person's voiceprint, a person, or all voiceprints at any time in Me → People, and you can delete them all when you turn the feature off. A person's voiceprint is deleted automatically if they have not been recognized or confirmed in a recording for one year. "Delete All Data on This Device" and uninstalling the app also delete all voiceprints.
3. Data relayed through our server
When you use live transcription, translation or AI summaries, the app sends the necessary content to TalkingNote's server, which relays it to our third-party processing providers (third-party AI services):
- Live transcription and translation: the audio stream is relayed to Soniox, which returns the transcript and translation. Your recognition language, translation language and hot-word settings are sent along with it. Transcribing an imported audio file works the same way.
- AI summaries and titles: the transcript text and your prompt are relayed to OpenAI, which generates the summary or title.
How it is collected: this content is sent by the app over an encrypted connection only when you use these features; otherwise recordings and text stay on your phone.
Your permission: nothing is sent until you agree. When you sign in you are asked to tick a box agreeing that recording audio is sent to Soniox and transcript text is sent to OpenAI; anyone who signed in earlier without agreeing is asked the first time they use transcription or summaries. You can turn this off at any time in Me → More → AI Transcription & Summaries; the app still records, but no longer transcribes or summarizes.
Uses: this content is used only to provide transcription, translation, summaries and titles to you — not for advertising, not for training models, and not to identify you.
The server only relays this content and does not store the audio or text; it records only usage (seconds transcribed) for billing. We require, and have confirmed, that Soniox and OpenAI give this data the same level of protection as this policy: it is used only to provide the requested service and for no other purpose. Each provider's own privacy policy and terms also apply, and we encourage you to read them. If you do not sign in, or do not agree, no audio or text is sent to our server or to any provider.
4. Permissions
- Microphone: used only for recording and live transcription. You can turn it off at any time in iOS Settings.
TalkingNote does not read your contacts, photos, location, or other personal information.
5. Subscriptions and payments
TalkingNote offers four auto-renewable subscriptions, billed monthly or yearly: Plus, Pro, Max, and Unlimited. Each month includes a fixed amount of live transcription (200, 1,200, and 3,000 minutes per month respectively; Unlimited has no fixed amount, subject to a fair-use cap of 12,000 minutes per month). The amount resets every month and unused time does not roll over. We also sell one-time minute packs (a 180-minute starter pack and 60-minute top-ups); purchased minutes never expire. Subscriptions and minute packs are sold through Apple in-app purchase; Apple processes the payment and TalkingNote never receives your card, Apple ID password, or other payment details. Our server verifies the transaction receipts Apple provides to confirm your subscription status and credit minute packs.
6. Retention and deletion
- Delete your account: you can delete your account at any time in Me → More → Delete Account. We then delete all data we hold about you on the server (user identifier, email, usage, subscription and minute-pack purchase records, any unused minute-pack balance, and your feedback). Deleting your account does not cancel your Apple subscription; please cancel it first in iOS Settings.
- You can delete any recording in the app at any time. Deleted recordings go to Recently Deleted and are removed automatically after 30 days.
- In Me → More → Storage & Data, "Delete All Data on This Device" erases every recording, transcript, summary, audio file, and voiceprint at once.
- Voiceprints can be deleted separately in Me → People; voiceprints unused for one year are deleted automatically (see section 2).
- Uninstalling TalkingNote removes all data stored on your phone.
- Data already received by a processing provider must be deleted through that provider under its own rules.
7. Children
TalkingNote is not directed at children under 13, and we do not knowingly collect personal information from children.

If this policy changes in a material way, we will update this page in the app and change the "Last updated" date at the top. Continuing to use the app means you accept the updated policy.
